Refund Policy

Policy on last date of Admission, fee payment, late fine and Fee Refund for 2026-27,

1. Objective

The purpose of this Policy is to establish a transparent, fair, and systematic procedure for Admission and fees regarding the last date of Admission, processing of payment of fees, imposition of late fine and the fee refund to the students of Columbia Professional University for the academic session 2026-27. The policy ensures compliance with the applicable guidelines issued by the University Grants Commission (UGC), CGPURC and other statutory authorities, wherever applicable.

2. Scope

This policy shall apply to all students admitted to:

  • Undergraduate Programmes 
  • Postgraduate Programmes 
  • Diploma Programmes 
  • Doctoral (Ph.D.) Programmes 
  • Certificate Programmes 
  • Skill Development Programmes 
3. Last date of Admission: The last of admission in CPU for the academic session 2026-27, will be 15th Sep 2026 or as decided by CPU/CGPURC or UGC, whichever is later.

4. Processing of Fee Payment:
All fees are to be processed through the ERP system unless otherwise instructed. In the academic session 2026-27, the students are admitted on merit based on Marks/ passing of national tests/ CPUET on payment of the requisite fee in time as per the two slots given below:

(a) 50% of Total Fee Payment: At least 50% of total fee is to be paid within 30 days of the commencement of academic session or from the date of admission whichever is later.

(b) Rest 50% of Total Fee Payment: Next 50% of total fee is to be paid within next 30 days of the commencement of academic session or from the date of admission whichever is later failing which fine will be imposed.

5. Late Fine: In case the student is not able to pay the full fee in the 60 days of slots given above, a late fine of Rs. 25 per day will be charged after the expiry of 60 days, till he/she pays the fees. He will not get the Registration Number from the University and therefore not permitted to take any examination till he pays the full fees. 

6. Fee Refund as per the details below: 

6a. Categories of Refund

Refund requests may be processed under the following categories:

  • Admission Cancellation: Student voluntarily cancels admission before or after commencement of classes.
  • Programme Withdrawal: Student discontinues studies after admission.
  • Duplicate Payment: Excess or duplicate payment made by the student.
  • University Cancellation: Programme or admission cancelled by the University.
  • Hostel Refund: Refund related to hostel accommodation.
  • Security Deposit Refund: Refund of refundable caution money/security deposit.
  • Scholarship Adjustment: Adjustment/refund arising from scholarship approval.

6b. Refund Eligibility

Refund shall be considered in any of the following situations:

  • Admission cancelled by the applicant. 
  • Admission cancelled due to non-fulfilment of eligibility. 
  • Programme cancelled by the University. 
  • Duplicate fee payment. 
  • Student withdraws admission within the prescribed period. 
  • Government / Regulatory body directives requiring refund. 

6c. Fee Refund Schedule

Note:

The following charges shall generally be non-refundable:

  • Registration Fee 
  • Admission Processing Fee 
  • Application Fee 
  • Examination Fee (if examination process has commenced) 
  • Identity Card Charges 
  • Library Membership Charges
  • Digital Learning Charges 
  • Payment Gateway Charges 
  • Any statutory charges already deposited. 
7. Hostel Fee Refund

Hostel fee refund shall be processed after deducting:

  • Room occupancy charges 
  • Mess charges (actual) 
  • Damages, if any 
  • Outstanding dues 
8. Security Deposit Refund

Security Deposit shall be refunded after:

  • Completion of programme 
  • Clearance of all University dues 
  • Submission of No Dues Certificate 
9. Refund Application Process

Students shall submit:

  • Refund Application Form 
  • Original Fee Receipt 
  • Admission Letter 
  • Student ID Card 
  • Bank Passbook/Cancelled Cheque 
  • Aadhaar Card 
  • Reason for cancellation 
  • Supporting documents (if applicable) 
10. Refund Workflow

Step 1 Student submits refund request through ERP/Admission Office.↓

Step 2 Admission Department verifies admission details.↓

Step 3 Department issues No Dues.↓

Step 4 Finance Department verifies fee payment.↓

Step 5 Registrar reviews refund request.↓

Step 6 Competent Authority approves refund.↓

Step 7 Finance processes payment.↓

Step 8 Amount transferred through NEFT/RTGS.

12. Mode of Refund

Refund shall be made only through:

  • NEFT 
  • RTGS 
  • Bank Transfer 
  • Original Payment Mode (where applicable) 

Cash payment shall not be made.

13. Cases Where Refund Will Not Be Granted

Refund shall normally not be admissible if:

  • Student is expelled due to disciplinary action. 
  • Student submits incorrect information. 
  • Student has pending University dues. 
  • Refund request is received after the prescribed period. 
  • Documents are incomplete. 
14. Special Circumstances

The University may consider refund in exceptional cases such as:

  • Serious Medical Emergency 
  • Death of Student 
  • Natural Calamity 
  • Government Orders 
  • Programme Closure by University 

Such cases shall be decided by the Competent Authority.

15. Student Responsibilities

Students must:

  • Submit complete documents. 
  • Provide correct bank details. 
  • Clear all pending dues. 
  • Return University property before refund. 
16. University Rights

Columbia Professional University reserves the right to:

  • Amend the refund policy. 
  • Recover any outstanding dues before processing refund. 
  • Verify all documents submitted. 
  • Reject applications that do not satisfy the policy requirements.
